HR Compliance and Operations Specialist
We are looking for a full-time HR Compliance and Operations Specialist tto join our Shared Services team.
Reporting to the HR Operations Manager, the ideal candidate will be well-versed in compliance standards, have a strong attention to detail, and be able to effectively communicate with different departments. The successful candidate will be able to provide tactical support for various HR Operations processes, including client onboarding, conducting background checks, reviewing contracts, and ensuring HR compliance. The role will have a strong emphasis on international and global compliance, ensuring that the company adheres to relevant regulations across different regions. Additionally, the Compliance Specialist will engage in immigration-related task and contribute to global mobility efforts.
The HR Compliance and Operations Specialist will also support in ensuring the adherence to all relevant labor laws, company policies, and regulatory requirements,
Responsibilities include, but are not limited to:
Compliance:
- Support compliance with federal, state, and local labor laws, including labor law poster updates, and conduct compliance reporting
- Ensure HR practices align with legal standards and monitor legislative changes to update policies accordingly
- Assist in creating and implementing HR compliance policies and procedures that meet legal and organizational requirements
- Assist in reviewing and updating employee handbooks to ensure compliance and clarity
- Ensure all compliance documentation is accurate, current, and accessible
- Collaborate with legal, payroll, and other departments to integrate HR compliance across the organization
- Manage immigration policies and processes, ensuring compliance and supporting organizational goals
- Conduct compliance audits for I-9 documentation
- Prepare and submit reports on compliance matters to senior management and regulatory bodies as required
- Provide recommendations to resolve compliance issues in a timely manner
International Support:
- Oversee the L1 Blanket Visa process to ensure efficient handling and compliance
- Work with Envoy, our immigration services vendor, to facilitate immigration requests and processes.
- Conduct research and investigations for client-requested international travel
- Provide support for HR operations inquiries related to international employees and offices, including those in Costa Rica and the UK
- Serve as a backup HR operations contact for frontline support to employees and local leadership in Costa Rica
Client Onboarding Responsibilities:
- Review client onboarding requirements to ensure consultants meet necessary qualifications for project assignments
- Collaborate with clients and project leaders to facilitate effective onboarding processes
- Manage the submission and review of background checks and screenings through our background check vendor
- Work with cross-functional teams to review client contracts
Employee Service Center:
- Serve as the first point of contact for employee inquiries related to HR compliance, immigration, and global mobility
- Draft support letters for international travel as needed
- Act as a backup for managing HR cases in ServiceNow, adhering to our 4-Tier HR Service model
- Develop enhancements for new and existing procedures to improve efficiency and effectiveness
Onboarding and Orientation:
- Provide backup support for facilitating benefits orientation sessions as needed
- Assist with the new hire background check process when required
- Support the processing of I-9 forms and conduct E-Verify checks for new hires as needed
General HR Responsibilities:
- Generate reports in Workday as necessary and collaborate with ICT on critical compliance reporting
- Engage in testing for system upgrades, including HR systems like Workday and ServiceNow
- Create PowerPoint presentations to support leadership decision-making
- Perform other duties and special projects as assigned
Requirements:
- Demonstrates a passion for delivering the highest level of customer service
- Possesses prior knowledge of human resources principles and practices in the US, Costa Rica, and the UK, with a willingness to learn for any new geographic regions
- Has prior knowledge of local compliance and legislation in the US, Costa Rica, and the UK
- Understands US background check processes
- Ability to demonstrate empathy and credibility when supporting employees and leaders
- Possesses strong presentation skills, capable of embodying company values to large audiences, both live and remote
- Able to take initiative, share ideas, and develop creative solutions
- Exhibits excellent verbal and written communication skills in English
- Strong organizational skills with the ability to prioritize tasks and work quickly and accurately with minimal supervision
- Advanced proficiency in Microsoft Office to include but not limited to: Outlook, Word, Excel, PowerPoint
- Experience working with HRIS platforms, Workday preferred
- Experience working with Enterprise Service Management tools, ServiceNow preferred
- Experience with DocuSign preferred

Education/Training/Experience:
- Bachelor’s degree in Human Resources, Business Administration or related field
