Administrative Assistant
Key Responsibilities:
• Calendar & Time Management: Own and prioritize calendar activities, balancing internal and external stakeholder demands.
• Meeting & Event Coordination: Plan, organize, and prepare executive-level meetings and team events. Coordinate logistics, agendas, follow-ups, and materials.
• Travel & Expense Support: Manage domestic and international travel, including itineraries, event logistics, and expense reporting.
• Initiatives Support: Track action items, provide status updates, and manage content and collateral for internal initiatives.
• Communication Management: Act as a communication proxy, ensuring timely responses, appropriate delegation, and confidentiality.
• Collaboration: Engage with cross-functional teams across different geographies and cultures. Facilitate alignment and follow-through.
• Presentation & Reporting: Support creation of high-quality PowerPoint decks and reporting materials for executive audiences.
• Special Projects: May be asked to assist with special projects (e.g., special events, team building activities, office moves, training sessions, etc.).
• Executive Support: Typically supports more than one Director.
• Business Acumen: Applies broad knowledge of company policies and procedures as well as a working knowledge of the business to execute on assigned tasks.
• Stakeholder Engagement: Develops working relationships with stakeholders, both internal and external.
• Professional Presence: Attends business meetings, events, and forums with peers.
• Leadership Communication: Works with Director to prepare clear and timely communication to business leaders within area supported.
Minimum Qualifications
• 4+ years of experience in an administrative role, including 2+ years supporting Director-level or above.
• Fluent in English and Spanish (written and spoken).
• Advanced proficiency in Microsoft PowerPoint and intermediate knowledge of Microsoft Excel.
• Experience managing calendars, meetings, and international travel logistics.
• Strong verbal and written communication skills; ability to work across levels and cultures.
• High attention to detail, confidentiality, judgment, and time management.
• Operates effectively remotely, available to work from the office occasionally.
• Candidate must have reliable internet access with sufficient bandwidth for sustained video conferences.
Preferred Qualifications
• Experience working in the high-tech or global corporate environment.
• The role doesn’t require frequent travel, but it is preferred for the candidate to have availability and travel documents in case it is required.
• Portuguese language skills are a plus.
• Higher education preferred.
• Familiarity with AI tools and technologies: Knowledge of and comfort using AI-powered productivity tools (e.g., generative AI or automation platforms) is highly preferred. The ideal candidate demonstrates curiosity about emerging technologies and can leverage AI tools to increase efficiency, streamline workflows, and improve communication.
