HR Compliance and Operations Specialist
This is a temporary role for 6 months with high possibilities of extension
Reporting to the HR Operations Manager, the ideal candidate will have deep expertise in U.S. HR compliance, including a strong understanding of federal, state, and local employment laws, and the ability to interpret and apply HR policies across different U.S. states. This role requires strong analytical skills for managing compliance data and creating detailed reports from scratch.
The successful candidate will also provide tactical support for a variety of HR Operations processes, including client onboarding, policy development, background checks, and contract reviews — all while ensuring strict adherence to U.S. HR compliance requirements.
While the primary focus will be U.S.-based compliance, the role will also offer secondary support in global mobility and immigration processes for the U.S., as needed.
Key Responsibilities
U.S. HR Compliance (Primary Focus)
• Ensure compliance with U.S. federal, state, and local labor laws, including monitoring changes and implementing updates accordingly.
• Lead the creation, maintenance, and communication of HR compliance policies and procedures for the U.S.
• Interpret and apply compliance requirements across various U.S. jurisdictions.
• Own compliance documentation and audits (e.g., I-9), ensuring accuracy, completeness, and accessibility.
• Create data-driven compliance reports from scratch to support decision-making and ensure regulatory adherence.
• Collaborate with legal, payroll, and internal stakeholders to maintain compliance alignment.
• Maintain and update U.S. employee handbooks and ensure consistent policy application.
Global Mobility & U.S. Immigration (Secondary Focus)
• Support the U.S. immigration process, including L1 visas and compliance with immigration regulations.
• Liaise with external vendors (e.g., Envoy) for immigration and mobility services.
• Provide backup support for global mobility efforts and international HR operations (Costa Rica, UK). Data Management & Reporting
• Create custom compliance reports using tools like Excel and Workday.
• Analyze HR compliance trends and generate insights for leadership.
• Maintain detailed and accurate records to support audits and internal reviews.
Client Onboarding & HR Operations
• Review client onboarding requirements and background checks to ensure consultant compliance with project standards.
• Partner with legal and client stakeholders to support contract and compliance reviews.
• Serve as a point of contact for U.S. HR compliance inquiries from employees and management.
• Manage and enhance HR operations workflows, ensuring compliance is embedded throughout. Employee Support
• Address employee questions related to compliance, immigration, and onboarding.
• Draft support letters and ensure all documentation meets compliance standards.
• Provide backup for HR case management in ServiceNow and other internal systems.
Requirements:
• Bachelor’s degree in Human Resources, Business Administration or related field
• 5+ years’ experience in Human Resources
• High proficiency in English
• Demonstrated experience in U.S. HR compliance and employment law. (Must Have)
• Demonstrated experience with US immigration processes, global mobility.
• Possesses prior knowledge of human resources principles and practices in the US, with a willingness to learn for any new geographic regions
• Deep expertise in client onboarding (reviewing client requirements, contracts and working with legal as needed)
• Understands US background check processes
• Strong knowledge of state-specific labor policies across the U.S.
• Proven experience in managing data and building compliance reports from scratch.
• Familiarity with immigration processes (L1, I-9, etc.) and global mobility (preferred but not required).
• Strong interpersonal and communication skills; able to interpret complex compliance topics clearly.
• Ability to manage multiple tasks independently with accuracy and attention to detail.
• Advanced proficiency in Microsoft Office, especially Excel and PowerPoint.
• Experience with Workday, ServiceNow, and DocuSign is preferred.
• Strong analytical and problem-solving skills with a proactive mindset.
